Equipment Collection Checklist

Collecting hired equipment is an important part of a safe and successful hire. Use this checklist as a guide before leaving the collection location to confirm the equipment is correct, safe and ready to use.

Equipment Collection Checklist

1. Before You Leave Home

Make sure you have:

  • Confirmed the collection date, time and location with the Owner.
  • Reviewed the equipment listing and booking requirements.
  • Read any operating, transport or safety instructions.
  • Taken your Drivers Licence for verification.
  • Arranged an appropriate vehicle, trailer, tie-downs or loading equipment.
  • Brought any required personal protective equipment (PPE).
  • Checked that anyone operating the equipment has the necessary experience, licence or qualification.

2. Check the Equipment

When collecting the equipment:

  • Confirm it matches the item shown in the listing.
  • Check that all agreed accessories, attachments and safety equipment are included.
  • Inspect it for visible damage, excessive wear, leaks, loose parts or other problems.
  • Confirm guards, switches, brakes and other safety features are fitted and working.
  • Ask the Owner to demonstrate how to start, operate and safely shut down the equipment.
  • Check fuel, battery charge or consumable levels where applicable.
  • Confirm whether the equipment must be cleaned, refuelled or recharged before return.

3. Record Its Condition

Before taking possession:

  • Photograph the equipment from several angles.
  • Record any existing scratches, dents, wear or damage.
  • Make sure existing issues are acknowledged by the Owner.
  • Keep all communication and condition records through Local Hire Marketplace where possible.

These records can help prevent misunderstandings when the equipment is returned.

4. Loading and Transport

Before leaving:

  • Make sure the equipment is safely loaded and properly secured.
  • Use suitable straps, restraints, ramps and towing equipment.
  • Check that the load does not exceed your vehicle or trailer limits.
  • Confirm that any trailer lights, safety chains and couplings are correctly connected.
  • Never transport equipment in an unsafe or unlawful manner.

5. Confirm the Handover

Before departing:

  • Confirm the agreed return date, time and location.
  • Ask who to contact if the equipment develops a fault.
  • Confirm any special operating or return requirements.
  • Make sure the collection or handover has been recorded as required through Local Hire Marketplace.

6. If Something Is Wrong

Do not collect or use equipment that appears unsafe, seriously damaged, incomplete or different from the listing. Raise the issue with the Owner immediately and contact Local Hire Marketplace Support if it cannot be resolved.
