Returning hired equipment correctly helps avoid delays, additional charges and disputes. Use this checklist before returning equipment hired through Local Hire Marketplace.
Equipment Return Checklist
1. Confirm the Return Details
Check your booking to confirm:
- The return date and time
- The agreed return location
- Who will receive the equipment
- Any cleaning, fuel or charging requirements
Contact the owner through Local Hire Marketplace messaging platform if you need to clarify the return instructions.
2. Return the Equipment on Time
Allow enough time to clean, pack and transport the equipment safely.
If you expect to be late:
- Contact the owner as early as possible through Local Hire Marketplace's messaging platform.
- Explain the reason for the delay.
- Request an extension through Local Hire Marketplace if needed.
- Wait for the owner's approval before keeping the equipment longer.
Additional hire or late-return charges may apply. An extension is not confirmed until the owner approves it.
3. Clean the Equipment
Return the equipment reasonably clean and ready for inspection.
This may include:
- Removing dirt, dust, mud or grass
- Emptying collection bags or containers
- Wiping down surfaces
- Removing waste materials
- Cleaning accessories and attachments
Follow the manufacturer's instructions and do not use cleaning products that could damage the equipment.
4. Check Fuel, Batteries and Consumables
Review the listing and owner's instructions to determine what must be replaced or replenished.
Before returning the equipment:
- Refill fuel to the required level
- Use only the correct fuel type
- Recharge batteries where requested
- Return battery chargers and cables
- Replace agreed consumables
- Report any consumables that have been used or damaged
Do not refill, recharge or replace anything if doing so would be unsafe.
5. Gather All Parts and Accessories
Check that everything supplied at collection is being returned.
This may include:
- Batteries and chargers
- Power leads and extension cords
- Blades, bits and attachments
- Keys and locks
- Safety guards
- Manuals and instructions
- Cases, covers and storage containers
- Tie-down straps
- Supplied safety equipment
Use your original collection photos or handover checklist to confirm that nothing is missing.
6. Inspect the Equipment
Complete a basic condition check before returning the equipment.
Look for:
- New damage or unusual wear
- Cracks, dents or broken parts
- Damaged cords, plugs or controls
- Leaks or unusual smells
- Missing guards or labels
- Mechanical or operating faults
- Missing accessories
Do not attempt to hide damage or arrange repairs without the owner's permission.
7. Report Problems Before the Handover
Notify the owner through Local Hire Marketplace messaging platform if the equipment:
- Was damaged during the hire
- Developed a fault
- Was involved in an accident
- Has a missing part or accessory
- Was lost or stolen
- Could not be cleaned or refuelled as required
Explain what happened honestly and provide photos or other supporting information.
8. Take Return Photos
When handing the equipment back, take clear, time-stamped photos with the Owner, showing:
- The overall condition
- Each side of the equipment
- Fuel or battery levels where relevant
- All returned accessories
- Any damage or areas of concern
- The equipment at the agreed return location
These photos may assist if there is a later disagreement about its condition or return time.
9. Complete the Return with the Owner
Where possible, inspect the equipment together.
Confirm that:
- The equipment has been returned
- All parts and accessories are present
- Its condition has been recorded
- Any damage or concerns have been discussed
- The owner has taken possession
- No further return arrangements are required
Do not leave equipment unattended unless the owner has clearly agreed to it through Local Hire Marketplace.
10. Keep Your Records
Keep your:
- Collection and return photos
- Booking confirmation
- Messages with the owner
- Handover checklist
- Receipts for agreed expenses
- Police report number if theft occurred
Keep these records until the booking, security deposit and any reported issues have been finalised.
11. Fair Wear and Tear
Normal fair wear and tear may occur when equipment is used correctly. However, hirers may be responsible for damage caused by misuse, negligence, overloading, unauthorised use or failure to follow operating instructions.
The equipment should be returned in the same general condition in which it was collected, allowing for reasonable fair wear and tear.
12. Quick Return Checklist
Before completing the return, check that:
